Working Hours: 9:00 AM – 5:00 PM Florida time (EST)

We are looking for a reliable and detail-oriented Accountant with experience working with US companies to support the financial operations for a HVAC company based in Florida. 

This role focuses on maintaining accurate accounting records in QuickBooks, managing vendor payments, and supporting basic financial reporting. The company operates as a small US business with a moderate transaction volume, so the workload is stable and manageable.

The ideal candidate has prior experience with US bookkeeping or accounting processes, strong QuickBooks skills, and excellent English communication.

Responsibilities

  • Maintain and update accounting records in QuickBooks;
  • Manage Accounts Payable and vendor payments;
  • Process contractor payments;
  • Assist with payroll administration;
  • Prepare 1099 reports for contractors;
  • Support GL and Workers’ Compensation audit preparation;
  • Prepare financial reports and cash flow reports in QuickBooks;
  • Assist with annual financial reporting;
  • Support budget preparation;
  • Communicate with vendors and respond to accounting-related inquiries;
  • Maintain accurate documentation of financial transactions.

Work Environment

  • Small US company based in Florida;
  • Approximately 20 employees and contractors;
  • Around 15 invoices per month, mostly expense-related;
  • Financial reports generated directly through QuickBooks;
  • Minimal meetings — focus on independent work.

Requirements

  • 2–5+ years of experience working with US accounting or bookkeeping;
  • Strong hands-on experience with QuickBooks; 
  • Experience preparing 1099 reports;
  • Experience with vendor payments and contractor payments;
  • Familiarity with basic US accounting practices;
  • Strong attention to detail and analytical skills;
  • Fluent English (written and spoken);
  • Ability to work independently and manage tasks with minimal supervision.

  • Experience supporting audit preparation;
  • Experience working with US small businesses;
  • Familiarity with Buildertrend CRM.
